🚀 What needs to be done after a fresh installation of Daily Report 4?

This article explains the steps required when a vessel starts reporting with Daily Report 4 for the first time after a fresh installation. Following this setup process helps ensure accurate data capture and smooth reporting from the handover date onward.

Before you begin

Before Daily Report 4 can be used on board, the vessel must first be added to the fleet in Fleettracker by the Fleettracker Admin. For instructions, see:

Initial setup steps

  1. Install Daily Report 4 on board
    Your company’s IT administrator must install Daily Report 4 on the vessel. Use a fresh downloaded instalation file. Only this will contain the new ship.

  2. Start Daily Report 4 and select the vessel
    When opening Daily Report 4 for the first time, select the newly added vessel from the drop-down list.

  3. Configure the message sending settings
    Open the Settings menu and choose the preferred message sending method.
    The recommended configuration is:

    • Primary method: Internet
    • Fallback method: E-mail client

    Make sure to enter the vessel’s e-mail address.

  4. Enter the initial bunker quantities
    Open the Bunker tab and enter the quantity on board for each fuel type in metric tons (mt) as of the handover date.
    Use the figures stated in the handover protocol as determined by the bunker surveyor.

  5. Add bunker delivery note (BDN) information, if available
    If the BDNs from the previous owner are available, enter the following information on the left-hand side:

    • BDN number 
    • Supplier details
    • Receiver details
    • Delivery start timestamp
    • Delivery end timestamp
    • Delivery location

    For both the delivery start and delivery end timestamps, enter the handover date and time.
    For the delivery location, enter the port of handover.
    Then click Save.

  6. Create the first schedule entry
    Begin reporting by entering the first schedule entry for the port of handover.

  7. Create the first arrival report
    In the arrival report:

    • Enter 0 nm in the Distance field
    • Set the ATA timestamp to the handover date and time
    • Complete the cargo and geographic position fields as applicable

    Then go to Page 2 and enter the remaining on board (ROB) for each fuel type according to the handover protocol. These values should match the quantities entered in the Bunker tab.

  8. Create the first departure report
    In the departure report, enter the fuel consumption and adjust the ROB accordingly.

Result

Once these steps are completed, the vessel is ready to start regular reporting in Daily Report 4.
