🔧How can I add, edit, and remove ships from my Fleettracker fleet?

Manage your fleet in the Ship Details tab: learn how to add new ships, update master data and CII factors, maintain invoicing and communication details, and remove ships from your Fleettracker account.

On the Ship Details tab, you manage the ships in your fleet. You can:

  1. Add a new ship to your fleet
  2. Edit the details of an existing ship
  3. Remove a ship from your fleet

Below you find a step-by-step description of each action.

1. Add a new ship

  1. In the Ship Details tab, click + Add New Ship.
    A new window will open and the Ship Wizard will guide you through the process.

1.1 General information

On the first tab of the Ship Wizard, enter the general information of the ship.

Mandatory fields:

  • IMO number
  • Ship name

Optional but recommended fields:

  • Ships image – you can upload an image of your ship.
  • Charter Ship Name – if the ship is on time charter and has a time charter name, enter it here.
  • Vessel email address – we strongly recommend entering the ship’s email address, as it is required for the data quality messaging feature 
  • Ship Group – you can assign the ship to a Ship Group within your company.

Regulatory setting:

  • General cargo ship – if the ship is classified as a general cargo ship, check the box General Cargo Ship.
    This is important and required for correct EU MRV calculation and verification.

1.2 Ship CII factors (Fleettracker Gold only)

If your company is a Fleettracker Gold customer, a second tab lets you enter Ship CII Factors according to the ship’s class documentation.

Enter the CII-related values exactly as specified in the documentation to ensure correct CII calculations.

1.3 Invoice address

On the third tab, enter the invoice address for the ship.

  • If the ship should receive a collective invoice, check the Collective invoice box under Type of invoicing.

1.4 Communication settings

On the fourth tab:

  • Enter the ship’s MMSI number (mandatory).
  • Optionally, set up an Inmarsat C device.

1.5 Submit and complete

On the last tab, click Submit to finalize and add the ship to your fleet.

Important:
When a new ship has been added to the fleet, it is not automatically assigned to any Fleettracker guest accounts.
Any guest account that should have access to the ship must be assigned manually by the Fleettracker Admin.

2. Edit an existing ship

If you need to change vessel data at a later stage (for example, ship name, MMSI number, invoice address, or CII factors):

  1. In the Ship Details tab, select the ship.
  2. Click Edit Ship.
    The Ship Wizard opens again.
  3. Update the relevant information in the tabs.
  4. Click Submit to save your changes.

3. Remove a ship from your fleet

To remove a vessel from your active fleet:

  1. In the Ship Details tab, select the ship.
  2. Click Remove Ship.
  3. A new window will open and the wizard will guide you through the removal process.
  4. Select the date (month) from which the ship should be removed from your fleet.
  5. Confirm the removal.

Contract note:
As per contract, the termination of a ship must be done 5 days before the end of a month. If you terminate later, the upcoming month will be fully charged.

Data retention:
The data of a removed ship will still be visible in the GHG section and the Ship Schedule section for 2 years from the removal date.
